How to Recruit Receptionists Who Stay Past the First Month

To recruit receptionists, name the setting, the exact hours and the hourly pay in the first line of a mobile-friendly ad, run it on Facebook and Instagram within commuting distance, and recruit from customer-facing jobs such as retail, restaurant hosting and call centers. Screen with three or four short questions, and reply by text within minutes. Receptionist roles attract many applicants, so the work is in filtering for composure and schedule fit, not in finding volume.

Who you are hiring

Receptionists and information clerks held 947,500 jobs in 2025. BLS projects the occupation to shrink 1.7 percent by 2035, yet it still expects about 105,100 openings a year, almost all from people leaving the job (BLS Employment Projections 2025-35). The typical entry requirement is a high school diploma with short-term on-the-job training.

That tells you two things. The seat reopens often, so recruiting receptionists is a repeat task, not a one-off. And what is left for the person in the chair is the judgment part of the job: the upset visitor, the phone and the lobby at the same time. Recruit for composure, not typing speed.

  • Retail associates and cashiers who handle lines, questions and complaints all day
  • Restaurant hosts, who already manage a waitlist, a phone and a door at once
  • Call center agents who want an in-person, daytime job
  • Hotel and senior living front desk staff looking for weekday hours

These candidates are working, not searching. Facebook and Instagram ads reach them in the feed, and a weekday schedule or a set Monday to Friday shift is often the thing that makes them move.

Candidates job boards miss

Parents returning to work, semi-retired adults and students wanting part-time hours are strong receptionist hires and are often not on job boards at all. Say plainly if hours are part-time or school-day friendly. If your office serves Spanish-speaking customers, ask for bilingual candidates and say whether you pay more for it.

Your current front desk staff know who in their network could do the job. Your ATS also holds applicants who were a close second last time. Text them before you spend on a new ad.

BLS puts the median annual wage for receptionists and information clerks at $38,010 in May 2025. How to write the receptionist job ad

A receptionist candidate checks three things first: the hourly rate, the exact hours, and where the office is. Then they look at what kind of front desk it is. A short sample for a hypothetical dental practice (use your own rate, hours and details):

Front Desk Receptionist, family dental office, $19 an hour, Monday to Thursday 7:30am to 4:30pm, no weekends. Greet patients, answer phones, book appointments. We train you on our scheduling software. Apply from your phone in two minutes.

Other headlines that work for this role lead the same way: the setting, the pay, the schedule. “Hotel Front Desk, day shift, weekend differential” or “Receptionist, part-time school hours, downtown office.” Avoid “standard office hours” and “competitive pay,” which tell a candidate nothing. Screening questions for receptionists

Knock out only on the schedule and anything the job truly requires. Score the rest.

  • This role is Monday to Thursday, 7:30am to 4:30pm. Can you work that schedule? (knockout; use your real hours)
  • Have you worked a front desk, reception, host stand, register or call center before?
  • Have you used a multi-line phone system or appointment scheduling software?
  • Do you speak a language other than English? (only if it matters to the role)
